Office Layout

The office is located in a three-story building with the following floor dimensions:

l  Each floor: 40’ x 60’ (2400 square feet per floor)

l  The three floors are dedicated to different departments.

Proposed departmental distribution across floors:

lFloor 1 (Ground Floor)

The first floor will be the Marketing and Sales departments. This floor is suitable for departments that require high levels of communication, collaboration, and client-facing work. The floor will have several workstations, meeting rooms, and a reception area for welcoming clients and visitors. A total of 10 employees will be allocated to this floor, with 6 employees in the Marketing team and 4 in the Sales team.

l   Floor 2 (Second Floor)

The second floor is dedicated to the Development and IT teams. These departments will require high-speed networking, secure access to databases, and frequent internal communication. The development team may also have servers or other infrastructure for software testing and application development. This floor will house 9 employees with 6 in the Development team and 3 in IT Support.

l   Floor 3 (Top Floor)

The third floor will house the Finance, Human Resources, and Management teams. These departments generally deal with classified data and require strong security measures. The finance team will handle payroll, budgets, and financial reports, while HR will manage employee records. This floor will accommodate 6 employees, including 3 in Finance, 2 in HR, and 1 in Management.

l   Server Room Location

Based on space and environmental considerations, the server room will be located on the ground floor for better cooling, power stability, and accessibility. The drawback for this is the server room may be vulnerable to flood. One of the IT Support employees will be assigned to monitor the server room, ensuring its security, uptime, and maintenance.

Networking  Requirements  for  Each  Department

l       Marketing Department

Requires high-bandwidth internet for social media activities, digital marketing, and analytics tools. The network needs high availability and good performance.

l  Development Department

Needs a highly secure and high-performance network for software development, code databases, and large file transfers. The company also require access to version control systems. One of the few examples would be GitHub.

l   Management Department:

Needs a secure, stable, and compliant network for financial transactions, accounting software, and sensitive data storage.

Target  User  Specifications

a)     Employees

l     Each employee will have a workstation, either a desktop computer or a laptop, which then will be connected to the office network for shared resources and internet access.

l   Employees in the Marketing and Sales departments will rely heavily on tools like email, VoIP, and video conferencing for communication.

l   The Development team will need high-speed internet and secure access to servers and test environments. Their work often involves heavy coding and software testing, so their network needs must support fast file transfers and data syncing.

l   Finance and HR employees require secure access to sensitive data, including payroll, financial records, and employee information. Their network access will need to be restricted to ensure privacy and security, and they may also need to access documents and files remotely.

b)     Clients

l     Potential clients or visitors coming to the office will need access to a separate guest Wi-Fi network for internet browsing and communication during their visits. This network will be isolated from the main office network to ensure security.

l   The Marketing and Sales teams will interact with clients frequently both in person and remotely. For this reason, they will need tools that allow for easy communication, such as email, chat platforms, and video calls.

l    Clients who interact with the company remotely might need secure access to certain project files or presentations. For this, secure cloud storage or file-sharing systems will be important.
